DescriptionPOSITION SUMMARY: Under the direct supervision of the warehouse manager this position provides administrative and secretarial support for Shipping and Receiving. In addition to typing, filing, scheduling, this position performs duties such as greeting drivers, announcing arrivals of trucks, and communicating with shipping staff. ESSENTIAL DUTIES AND RESPONSIBILITIES:Administrative/secretarial: provides administrative support to the Warehouse Manager and Shipping SupervisorEstablishes, develops, maintains, and updates filing systems.Organizes and prioritizes large volumes of information and calls.Sorts and distributes mail.Drafts written responses or replies by phone or e-mail when necessary.Responds to regularly occurring requests for information.Checks in, incoming truck drivers and informs warehouse staff of proper doc number the trailer is backing up toAnswers phonesTakes messages or fields/answer all routine and non-routine questions.Handles confidential and non-routine information and explains policies when necessary.Works independently and within a team on special nonrecurring and ongoing projects.Proofreads copy for spelling, grammar, and layout, making appropriate changes.Maintain customer orders system.Take responsibility in your work area to produce a safe and quality food product. Report all food safety related problems to your supervisor, manager, or to the QA department to initiate immediate action.Sort and maintain bills of landingOrder office supplies when neededSUPERVISORY RESPONSIBILITY: NoSPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC:Required education is a high school diploma or a GED; must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment; and at a level generally acquired through one or more years related experience an Associates Degree is preferred.Work requires an extensive knowledge of business and excellent command of the English language.Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, and tact/diplomacy.Some analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.PHYSICAL DEMANDS:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
